Reporting to the SHE Manager, the SHE & Maintenance Administrator is responsible for providing administrative and support to the plant employees and leadership team, as well as promoting positive employee relations. The main function of an SHE & Maintenance Administrator is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.

What You Will Do:

Reporting to the SHE Manager, the SHE & Maintenance Administrator is responsible for providing administrative and support to the plant employees and leadership team, as well as promoting positive employee relations. The Plant Administrator will be the main contact for plant purchasing and payroll administration tasks, as well as supporting the general administrative needs of the site. This role will be on-site M – F, 8am – 5:00pm.

Main Responsibilities:

  • Tracking employee attendance to all in person monthly trainings and monthly training reminders
  • Tracking annual physicals for all employees
  • Enter bills and invoices from waste into the waste tracker.
  • On the 1st of each month make sure to total all waste totals and break down by disposal facility
  • After doing all OnBase invoices send totals to manager
  • Code and process invoices and Pos
  • Track all BBS observations and update weekly
  • Order all COA's, Safe Work permits, Forklift Inspection Books
  • Maintain tracking, orders and repairs of safety radios
  • Creating folders for all new employees and maintain their training their records.
  • Tracking spreadsheet of all employees training, schedule trainings when needed
  • Assigning all new employees Safety Skills CBT's.
  • OPS will bring their weekly round and board sheets and you will make sure you have all of them. What is missing is communicated to them. Then once all complete all board sheets are scanned in and saved in a folder. Then all round and board sheets are filed.
  • Enter all near misses/incidents into SH&E spreadsheet and assign each one its number and then give them all to Don for Velocity inputting.
  • Hep B vaccine tracking and monitoring
  • Track all waste manifests in tracker and updated once the second manifest is received
  • Enter manifests into TCEA database STEERS each month. All due by mid February before report is due in March of each year. (Environmental Engineer to submit to the state)
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort and distribute incoming correspondence, including faxes and emails.
  • Prepare responses to correspondence containing routing inquiries.
     

Position Details: This position is based in Fresno, TX.

Minimum Qualifications: 

  • High School Diploma Required.
  • 3-5 years experience in an administrative role, preferably in a manufacturing environment. Will consider less experience in conjunction with a degree in a related field.

 Preferred Qualifications:

  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Ability to work independently and manage one’s time.
  • Ability to keep information organized and confidential.
  • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
     
  • Associates or Bachelor’s degree in Business, HR, Office Management, Liberal Arts, Accounting or a related field.
  • Effective problem solving and problem resolution skills.
  • Previous and experience in Workday and SAP system is a plus.
  • Prior timekeeping/payroll experience is a plus.
  • OnBase and MyBuy experience a plus.
